What are transactional emails and do I need to set them up separately?
Transactional emails are triggered by a specific user action — a purchase, signup, or password reset — and are expected by the recipient, unlike marketing emails which are promotional and opted into more loosely. They need separate sending infrastructure (often a different tool or IP) because mixing them with marketing sends means a spam complaint on a newsletter can delay someone's password reset email.

| Factor | Transactional | Marketing |
|---|---|---|
| Trigger | User action (purchase, signup, reset) | Scheduled campaign or automated flow |
| Consent needed | Implied by the action itself | Explicit opt-in required |
| Typical open rate | 60-90% | 15-35% |
| Can include promotional content? | Minimal, if any, in most jurisdictions | Yes, that's the point |
| Common tools | Postmark, SendGrid, Amazon SES, Resend | Mailchimp, Klaviyo, ConvertKit |
| Deliverability requirement | Must arrive instantly and reliably | Important but less time-critical |
Do this
The steps, in order.
- Step 1
List every transactional email your product needs
Password resets, order confirmations, shipping updates, invoice receipts, account verification — write down every action-triggered email your product or store needs to send before choosing a tool.
- Step 2
Use a dedicated transactional email service
Postmark, Amazon SES, or Resend are built specifically for transactional volume with high deliverability and fast delivery times, typically under a few seconds. Marketing platforms aren't optimised for this and can introduce delay.
- Step 3
Keep transactional and marketing sending separate
Use a different subdomain or sending domain for transactional email than for your newsletter. This way, if your marketing emails get flagged for spam complaints, your critical account emails still land.
- Step 4
Check your jurisdiction's rules on adding promotional content
In many regions, adding marketing content to a transactional email (like a discount code in a receipt) can require the same consent as a marketing email, so check relevant regulations (CAN-SPAM, GDPR, CASL) before mixing the two.
- Step 5
Monitor delivery speed, not just delivery rate
A password reset email that arrives five minutes late is functionally broken even if it eventually lands. Monitor average delivery time for transactional sends, aiming for under 10-30 seconds.
Worth knowing
The bits people get wrong.
The distinction matters most for deliverability and legal reasons. Transactional emails are exempt from many marketing-specific requirements (like unsubscribe links) in most jurisdictions because the recipient explicitly triggered the action, but only as long as the content stays functional rather than promotional.
Small businesses often start by sending everything through one marketing platform because it's simpler, and this usually works fine at low volume. The risk shows up as the list grows — if a marketing campaign generates spam complaints, some email providers penalise the entire sending domain or IP, which can delay or block transactional emails that customers are actively waiting for, like an order confirmation.
Most e-commerce platforms and SaaS tools already handle basic transactional emails (order confirmation, password reset) through their own infrastructure by default, so this is mainly a concern once you start customising those emails or building your own product from scratch.
Cost is minimal — transactional email services typically charge $0.001-0.01 per email, meaning even a few thousand transactional sends a month costs under $10-20, far cheaper per email than marketing platforms because the content and targeting logic is simpler.
Questions
Follow-up questions.
Can I send transactional emails through my regular marketing email tool?
Technically yes at low volume, but it's risky at scale — a spam complaint on a marketing campaign can affect deliverability of critical account emails sent from the same domain or IP.
Do transactional emails need an unsubscribe link?
Generally no, as long as the content stays strictly functional (receipt, reset link, shipping update). Adding promotional content changes that requirement in most jurisdictions.
What's a good open rate for transactional emails?
60-90% is typical, since these are expected and directly relevant to an action the recipient just took, compared to 15-35% for marketing emails.
Which tool should a small SaaS use for transactional email?
Resend, Postmark, or Amazon SES are common choices for developers setting this up directly, priced around $0.001-0.01 per email at typical small-business volume.
Is it worth setting up separate infrastructure at very low volume?
If you're sending under a few hundred transactional emails a month, it's fine to start with what your platform provides by default. Revisit separation once volume or complaint rate on marketing sends increases.
