A free stack of F5Bot, Google Alerts and native saved searches costs nothing and covers most businesses under about 200 mentions a week. Small-business paid tools run roughly $30–$100 a month, team platforms $200–$600, and enterprise suites $1,000+ with annual contracts. The real cost in every tier is the 15 minutes a day someone spends replying.

The steps, in order.
- Step 1
Cost the free stack first
Thirty minutes of setup and 15 minutes a day. At a notional $50/hour that's about $65 a month of attention with zero software spend — and it is the baseline any paid tool has to beat.
- Step 2
Check pricing is per mention, not per seat
Most platforms cap mentions per month. Work out your monthly volume from a trial and buy against that, or you will hit the cap mid-month and quietly stop receiving alerts.
- Step 3
Refuse the annual contract on the first purchase
Pay monthly for the first quarter even at a premium. Monitoring needs are unusually easy to over-buy, and half the teams who commit annually downgrade at renewal.

Upgrade only against a named gap
Instagram coverage, historical back-search for a report, or a second person needing assignment. Each of those is worth money. Prettier dashboards are not.
Worth knowing
The bits people get wrong.
Price mostly tracks archive depth and mention volume, not alert quality. A $600 platform does not spot a Reddit thread faster than a free F5Bot email — it just keeps the last two years of them and scores their sentiment.
Hidden costs to budget for: onboarding fees on enterprise plans, overage charges when a mention spike blows the cap, and the person-hours of retraining when you switch platforms. A switch typically costs a week of someone's time.
For a business under about 20 people, monitoring should be a $0 software line for at least the first year. Spend the money on the thing that generates mentions instead.

For most small businesses, yes. Free covers Reddit, Hacker News, X and indexed pages. You lose Instagram, TikTok and historical data, which most small teams never use.
Why are enterprise monitoring platforms so expensive?
You're paying for the historical archive, compliance and audit features, API access and account management — not better alerting.
When should I start paying?
When you can name the gap costing you something: a channel you can't see, a report you can't produce, or more repliers than one shared inbox can handle.
