Cold email tooling is close to a commodity. Sending, sequencing and inbox rotation work about the same everywhere, and the difference between a 1% and a 6% reply rate is almost entirely list quality, warm-up and the first line of the message.

So pick on price and on how the tool handles multiple sending domains, then spend the time you saved on the list. Below is what each one is genuinely good at, and what we'd skip at this stage.

Inbox rotation across domains

Sending from three or four secondary domains at 20–30 emails each keeps volume up without burning your main domain. Any tool you consider should rotate automatically.

Warm-up that you can turn off

Warm-up networks help a new domain, but leaving them running forever inflates your open data and can look artificial. You want it optional.

Reply detection that actually stops the sequence

Nothing costs you a deal faster than the fourth follow-up arriving after someone replied. Test this on day one.

Price per sending inbox, not per seat

Some tools charge per connected mailbox, which gets expensive fast when you're rotating five. Check the pricing model before the feature list.

The pragmatic default. Unlimited connected inboxes at a flat price is the right shape when you're rotating domains, and setup takes an afternoon. The built-in lead database is average — bring your own list.

Similar to Instantly with better controls for larger sending setups and a solid API. Slightly steeper learning curve; worth it if outbound is your main channel rather than one of several.

Strongest at personalised images and landing pages, and the LinkedIn steps are genuinely useful. Per-user pricing makes it pricier than the flat-rate options once you scale mailboxes.

Best for: Teams who want contact data and sending in one place

Best value if you need the database more than the sender. Data accuracy is decent in the US, patchier in Europe. Sending features are fine but not best in class — many teams find contacts here and send elsewhere.

Best for: Building lists that aren't just a filtered export

Not a sender — a list builder. Pulls from dozens of data sources and enriches with your own rules, which is where reply rates actually come from. Expensive and takes a week to learn, but it's the part of the stack worth paying for.

Best for: Teams who want their own sending infrastructure

For when you're past a few thousand sends a month and shared infrastructure starts hurting deliverability. Overkill before that point.

  • Any tool that promises verified emails with no bounce risk — always run a separate verification pass with NeverBounce or ZeroBounce.
  • Bundled scraped databases sold on a lifetime deal. The data is old, bounce rates wreck your domain, and lifetime deals rarely outlive the company.
  • Sending from your primary domain. Buy two or three lookalike domains, warm them for three weeks, and keep your main one clean.

How many emails a day can I send safely?

Twenty to thirty per inbox after a three-week warm-up. Rotate across four inboxes and you have around a hundred a day without risking the domain, which is plenty for early outbound.

What reply rate should I expect?

Three to eight percent on a well-researched list of a few hundred, closer to one percent on a broad filtered export. If you're below one percent, it's the list or the first line, not the tool.

Do I need a separate email verification tool?

Yes. Bounce rate above about two percent damages sender reputation quickly. Verify every list before it goes anywhere near a sequence.

Is cold email still legal?

In the UK and EU, business-to-business cold email is allowed with a clear unsubscribe, honest sender details and a relevant reason for contacting that specific person. Consumer email needs consent. Check the rules for your market before you send.
