How do I improve cold email deliverability?
Deliverability comes from four things: correctly set SPF, DKIM and DMARC records on a separate sending domain, a two-to-four week warm-up period before full volume, sending limits of 30-50 emails a day per inbox rising slowly, and a verified list with under 2% bounce rate. Skipping any one of these can drop inbox placement from 90% to under 40% within days.

The steps, in order.
- Step 1
Buy and set up a separate sending domain
Use a domain like yourcompany-mail.com rather than your main domain, so that if deliverability drops, your primary business email is unaffected. This costs $10-15 a year and takes 20 minutes to point at your email tool.
- Step 2
Configure SPF, DKIM and DMARC before sending anything
These three DNS records tell receiving servers your email is legitimate. Most cold email tools give you the exact records to paste into your DNS provider, and skipping this step alone can cap inbox placement at 50%.

Warm up the domain for two to four weeks
Send 5-10 emails a day in week one, rising gradually to your target volume by week three or four, ideally with warm-up software that simulates replies and opens. Domains that jump straight to 200 emails a day get flagged within 48 hours.

Verify your list before every send
Run your list through a verification tool (NeverBounce, ZeroBounce, or built into most cold email platforms) and remove anything that comes back risky or invalid. Keeping bounce rate under 2% is the difference between a healthy domain and a blacklisted one.

Cap daily volume per inbox and rotate if scaling
One inbox sending 30-50 emails a day sustains good deliverability; above that, spread volume across multiple inboxes on the same warmed domain rather than pushing one inbox past its limit.
Worth knowing
The bits people get wrong.
Deliverability problems compound quietly. A domain can look fine for two weeks of low-volume sending and then collapse the moment you scale up, because inbox providers watch trends, not single sends. This is why warm-up isn't optional even if your first batch of 50 emails all land fine.
Content matters less than infrastructure but still counts. Avoid spam trigger words in subject lines (free, guarantee, act now), keep HTML simple or use plain text, and avoid more than one link per email in early sends. Spam filters increasingly weight sender reputation over content, but content can still tip a borderline domain over.
Reply rate is the strongest positive signal you can generate. Gmail and Outlook both use engagement (opens, replies, not-spam marks) as a major ranking factor, so a smaller, well-targeted list that gets 8% replies protects your domain far better than a large, generic list that gets 1%.
If deliverability has already collapsed — replies stop coming and even known contacts say your email went to spam — the fix is usually a new domain and a slower warm-up, not troubleshooting the old one. Burned domains rarely recover within the same quarter.

30-50 per inbox is a safe ceiling for a warmed domain. Multiple inboxes on the same domain can multiply that, but each inbox individually should stay in that range.
Should I use my main company domain for cold email?
No. Use a separate but similar domain (yourcompany-mail.com) so a deliverability problem never affects the inbox your customers and invoices depend on.
How long does domain warm-up take?

Does personalisation actually improve deliverability?
Not directly, but it improves reply rates, and reply rate is a strong deliverability signal to inbox providers. Personalised, relevant emails indirectly protect the domain by generating engagement.
What bounce rate should trigger me to stop and clean the list?
Above 3-5% bounce rate on a campaign, stop sending immediately and re-verify the list. Continuing past that risk gets domains flagged by ISPs within days.
